Studio policy at The Violin Room

Lesson Structure and Payment

  • Violin lessons are 45 minutes long
  • Music Theory Classes are 30–45 minutes long and may be conducted online or in-person at a preferred location (travel rates apply)  
  •  Lesson packages include 4 or 5 weekly lessons per month, depending on the calendar. In months with public holidays or breaks, this may vary, the teacher will confirm the monthly schedule in advance.
  • Tuition is paid in advance for the new month. No later.
  • No payment, No lesson(s).
  • For home visits, I charge the South African travel rate per kilometre × 2. 
  • Tuition fees are reviewed annually and generally increase by 7% each year. Any changes to tuition will be communicated with a minimum of 30 days’ written notice. 
  • Before applying for tuition at The Violin Room, the student must evaluate his/her preparedness for a financial commitment. 
  • Students are encouraged to commit to a full year of study. Early termination is allowed with one full calendar month’s notice in writing. Prepaid lesson fees are non-refundable. (Please read Termination of Lessons) 
  • This policy serves as a binding contract between the student and the teacher, setting forth expectations and responsibilities for the duration of each lesson and/or package. 
  • When enrolling for violin classes at The Violin Room, it is compulsory that Music Theory be included as part of your training. The two cannot be separated.
  • Acceptance for ongoing lessons is at the tutor’s discretion following the free assessment lesson. 

Student responsibilities

  • All students must be prepared and on time for their lessons.
  • Students must arrive having practised. If the tutor observes ongoing lack of preparation or practice affecting progress, the tutor may, after discussion with the student or guardian, discontinue the tuition agreement.
  • Being prepared also means bringing your music books and homework book to each lesson to take notes and support home practice. 
  • For online lessons, students are responsible for ensuring a stable internet connection, functional audio/video, a fully charged device, and access to all required sheet music.  

Communication

  • Students must notify the teacher via the provided contact information if they expect to be late.
  • If the student arrives late for a lesson, the teacher will complete the lesson using the remaining time of the lesson slot. If you are late, it does not open the opportunity for a refund. 

Rescheduling

  • If a lesson needs to be rescheduled, it should be communicated at least 24 hours before the start of the lesson. Rescheduling also depends on the teacher’s calendar availability.
  • Rescheduling lessons due to reasons like lack of practice will not be granted. Acceptable reasons include: illness, physical injury affecting violin playing, mental health struggles, urgent family matters, or mourning. 
  • If the teacher needs to reschedule a lesson, there is no obligation to share the reason for doing so with the student.
  • Rescheduling with less than 24 hours’ notice is not permitted, except in cases of genuine emergency (such as sudden illness, injury, or family crisis).  
  • If a student becomes ill on the day of the lesson, they must inform the teacher as early as possible. Same-day rescheduling for illness may be considered on a case-by-case basis but is not guaranteed.
  • Cancellations with less than 24 hours’ notice will result in forfeiture of the lesson fee, unless the reason qualifies as a genuine emergency. In such cases, rescheduling may be offered at the teacher’s discretion, depending on availability. 
  • If a student does not attend or cancels a rescheduled lesson, the fee for that lesson is automatically forfeited. 

Copyright

  • All music lessons are considered the intellectual property of the teacher and may not be recorded in any form (audio, video, or written) without prior written consent. 
  • This includes physical, audio, and video recordings during the lesson time.
  • The teacher reserves the right to immediately terminate any lesson or package without refund if this policy is violated.
  • Lesson content shared by the teacher may be used for marketing, educational, or demonstration purposes, with respect to student privacy. 

Parental Involvement for students under 18

  • Legal guardians are expected to help students prepare for lessons and maintain a daily, distraction-free practice routine.
  • Guardians must ensure that students are on time.  
  • Students under the age of 7 are not currently accepted into The Violin Room. Please contact us when the student is of age. 

Termination of Lessons

  • If a student or guardian decides to discontinue lessons, they must notify the studio in writing (email or text).
  • Any unused, prepaid lessons at the time of discontinuation are considered forfeited and are non-refundable.
  • By discontinuing, the student agrees to relinquish all remaining scheduled or banked lesson credits.
  • No refunds will be issued unless otherwise agreed to in writing by the teacher. 
  • This policy ensures clarity and protects both the studio and the student from misunderstandings regarding lesson credits.
